This privacy policy explains how we collect, use, and share the personal information you provide when you visit our website or make a purchase, including how we use that information with Google Ads and with Shopify’s services, such as Shopify Network Intelligence (“SNI” or “Enhanced Services”).

By visiting our website or providing us with your data, you agree to the practices described below. If you do not agree, please do not use our site or submit your information.

1. Information We Collect

When you visit our site or make a purchase, we may collect:

  • Personal Identification Information: name, email address, phone number, date of birth (if provided), etc.

  • Address and Payment Details: billing/shipping address, and payment information (processed by our payment processor).

  • Usage Data: IP address, browser type/version, pages visited, referral URLs, and device identifiers (via cookies and similar technologies).

  • Other Information You Provide: any additional data you choose to submit (e.g., product reviews, survey responses).

2. How We Use Your Data & Legal Basis

Under the UK GDPR and Data Protection Act 2018, we identify a lawful basis for each purpose of processing. We rely on one or more of the following:

  1. Performance of a Contract

    • To process your orders, take payment, fulfil shipping/returns.

    • To communicate with you about orders, refunds, and customer service.

  2. Legitimate Interests

    • To improve our website, products, and services (analytics, troubleshooting, testing, optimisation).

    • To send non-promotional service messages (e.g., changes to terms/policies).

    • Important: You have the right to object to processing based on legitimate interests (see Section 6).

  3. Consent (where applicable)

    • To send you marketing emails and deliver targeted advertising (including Google Ads). We email you marketing only if you’ve opted in, or where a soft opt-in applies and you’ve not opted out.

    • To use non-essential cookies and similar technologies (e.g., analytics, remarketing, and ads/measurement based on your activity in our store, with other merchants, and with Shopify—see Sections 3 and 3.3). You may withdraw consent at any time (see Section 3.1 and Section 6).

If we rely on consent for a processing activity, you may withdraw that consent at any time without affecting the lawfulness of processing before withdrawal (see Section 6).

3. Cookies and Online Advertising

3.1. Cookies and Similar Technologies

We and our partners use cookies, pixels, web beacons, and similar technologies to operate the site, enhance your shopping experience, and measure performance. Some cookies are strictly necessary (e.g., to keep you logged in or remember your basket). Others are used for analytics, personalisation, and advertising.

  • Essential Cookies: Required for core site functions (session management, security). These do not require prior consent.

  • Analytics & Performance Cookies: Help us understand usage (e.g., page views, errors). Enabled only with your consent.

  • Marketing/Advertising Cookies: Used to deliver personalised ads on Google and other platforms and, where you consent, to support Shopify’s Enhanced Services described in Section 3.3. Enabled only with your consent.

Managing your preferences: You can set your cookie choices at any time using the Cookie Settings link or banner on our site. Changing these settings will update your preferences immediately for future visits on the same device/browser.

3.2. Google Ads (Remarketing and Customer Match)

  1. What We Do:

    • We participate in Google Ads remarketing. With your consent (where required), Google may set/read cookies or similar identifiers so you can see Wood Furnishings ads across Google Search and the Google Display Network.

    • We may use Google Customer Match to upload hashed identifiers (e.g., email) for customers who have consented to marketing. Google uses these hashes to show our ads to matching accounts across Google properties. We do not share raw identifiers.

  2. Legal Basis:

    • Remarketing via cookies/pixels: Consent through our cookie banner/settings.

    • Customer Match: Consent (we only use hashed data for consenting customers).

  3. What Google Does with Your Data: Google processes information under its own terms and privacy policy. We don’t control Google’s advertising, nor do we see your individual Google data.

  4. Your Choices & Opt-Out:

    • Cookie choices: Use our on-site Cookie Settings to refuse or withdraw consent for non-essential cookies at any time.

    • Google Ads Settings: Visit adssettings.google.com to control personalisation or opt out.

    • Email unsubscribe: Every marketing email contains an unsubscribe link.

3.3. Shopify Network Intelligence (Enhanced Services)

Our store is hosted by Shopify. When you visit or make a purchase, Shopify processes your personal data to operate our store and to provide additional features that use insights from activity across Shopify’s platform and other merchants (“Enhanced Services”). Examples include improved search and discovery, fraud prevention, advertising and measurement tools, and other services that help us run our business.

  • Who processes the data: For store operations, Shopify acts as our service provider/processor. For Enhanced Services, Shopify also processes customer data together with data from other merchants as an independent controller, under its own privacy policy.

  • Legal basis (UK): We obtain your consent before enabling non-essential cookies or similar technologies that support advertising/measurement based on your activity in our store, with other merchants, and with Shopify.

  • Your choices for Shopify’s processing: Learn more and exercise rights to withdraw consent or object to Shopify’s processing for Enhanced Services via the Shopify Privacy Portal. Also see Shopify’s Consumer Privacy Policy.

  • Deletion and opt-outs: If you request deletion of your data with us, Shopify will also delete it from SNI. If you refuse non-essential cookies, Shopify will respect that choice for SNI non-essential uses (including advertising/measurement).

  • International transfers: Shopify may process data in countries outside the UK/EEA. See Section 5 and Shopify’s Consumer Privacy Policy for transfer safeguards.

4. How We Share Your Data

We do not sell your personal information. We only share it in these circumstances:

  1. Service Providers & Processors (including Shopify):

    • We share data with vendors who perform services on our behalf (payment processing, hosting, analytics, support, marketing, fulfilment). Our store is hosted by Shopify. Shopify processes your data to operate our store and, where enabled, to provide Enhanced Services that incorporate data from interactions with other merchants and with Shopify. For details—including how to withdraw consent or object—see Shopify Consumer Privacy Policy and the Shopify Privacy Portal.

    • Other service categories include: Payment processors (e.g., Stripe, PayPal), shipping/fulfilment partners, marketing platforms (e.g., Google Ads, email providers), IT hosting and analytics services, and customer-service platforms.

    All such service providers are contractually bound to use your data solely to perform those services and must comply with applicable data-protection laws.

  2. Google Ads: As described in Section 3.2.

  3. Compliance with Law & Protection of Rights: We may disclose information to comply with legal obligations or protect rights, property, or safety.

  4. Business Transfers: If Wood Furnishings is involved in a merger, acquisition, restructuring, or sale of assets, your data may be transferred as part of that transaction.

5. Data Storage & Security

  • We store your data on secure servers in the UK or, where necessary, the European Economic Area (EEA). If we transfer personal data to countries outside the UK/EEA (e.g., the U.S. or Canada), we ensure appropriate safeguards (such as Standard Contractual Clauses approved by the UK ICO, or other lawful transfer mechanisms).

  • We implement reasonable technical and organisational measures (encryption, access controls, audits) to protect data against unauthorised access, alteration, disclosure, or destruction.

  • We retain personal data only as long as necessary for the purposes outlined or as required by law (e.g., order records may be kept for 7 years for tax). When no longer needed, we securely delete or anonymise it.

6. Your Rights

Under the UK GDPR, you have rights over your personal data, including:

  1. Access – request a copy of your personal data.

  2. Rectification – correct inaccurate or incomplete data.

  3. Erasure – request deletion where we have no legitimate reason to continue processing.

  4. Restriction – request that we suspend processing in certain circumstances.

  5. Object – object to processing based on our legitimate interests, including profiling/marketing. You can also object to Shopify’s processing for Enhanced Services via the Shopify Privacy Portal.

  6. Data Portability – request your data in a structured, commonly used, machine-readable format.

  7. Withdraw Consent – where processing relies on consent (including non-essential cookies and ads/measurement based on cross-merchant activity), you can withdraw at any time through our on-site Cookie Settings. You may also withdraw consent or object to Shopify’s processing through the Shopify Privacy Portal.

7. Third-Party Links

Our website may contain links to external sites (e.g., social media platforms). These sites have their own privacy policies and are not covered by this policy.

8. Children’s Privacy

Our website and products are not directed to children under 16. We do not knowingly collect personal data from minors. If you are a parent/guardian and believe we have collected information from a child under 16, please contact us so we can delete it.

9. Changes to This Policy

We may update this policy from time to time to reflect changes in law or our services. When we make material changes, we will post the new version with an updated “Effective Date” at the top. Continued use of our site after any changes indicates your acceptance.
